Six Business Lines, One Tech Team: How Vocare Group Runs It on ClickUp

Industry: Financial Services | Employees: 10–20 | Use case: AI work management

Vocare Group is a Brazilian financial services group in Guarapuava, Paraná, running BPO and accounting, investment advisory, securitization, insurance, legal, and wealth planning. Thiago Marcondes, its Head of Tech and Automations and its entire tech team, moved all six lines into one ClickUp workspace where four Super Agents triage incoming requests, break work into plain-language subtasks, and keep the pipeline moving.

"ClickUp turned a one-person tech team into something that runs like a full operations squad.

AT A GLANCE

How six business lines started reporting themselves

Vocare Group sells clarity to families and companies managing serious money, and for a while its own delivery pipeline did not run that way. Demands arrived through spreadsheets, email, and WhatsApp, and one person turned them into tasks by hand. That first pass now happens in ClickUp. What Thiago gets back is not only hours, but the attention those hours used to absorb, spent building automations instead of chasing updates.

Before ClickUp : When every new demand started as a blank task

Until recently, the group's work arrived through spreadsheets, email, and WhatsApp threads. Thiago chased the day across all three, typed out each task, moved each status, and went person to person for updates across six business lines. Several hours a week went to pure coordination before any building started. None of this was disorder. It was the arithmetic of one technologist serving BPO, advisory, securitization, insurance, legal, and wealth planning at once. Things still fell through the cracks.

After ClickUp : Agents triage, subtasks tick themselves off, cards carry their own history

The workspace became the system of record first. Sales, marketing, HR, and financial services now run tasks, internal communication, and CRM in ClickUp on a four-stage flow of backlog, development, in validation, and complete. Four Super Agents keep it honest: Triage checks whether a request already exists before a new card appears, Progress Tracker breaks work into three to ten plain-language subtasks, Status Keeper moves stages and adjusts priority and due dates, and a Back-office Assistant logs insurance and BPO routines as comments. Status meetings shrank, because every task shows its own progress. The payoff is client-facing: on BPO engagements, the client team and Thiago read the same live status.

What's the most surprisingly useful thing ClickUp Brain or a Super Agent has done for your team?

"When I brought up a new demand, it found an old task on the same subject, reopened it, updated the description and subtasks and left a comment with what had changed, instead of creating a new card. That was the 'wait, it can do that?' moment: it organizes the workspace by itself."
